Planner and timetable setup
Overview
The Classfolio planner has two parts: a timetable (your class schedule — which classes you teach and when) and a weekly calendar (what you plan to do in each lesson). Set up your timetable first, then use the calendar to plan lessons, assessments, and assignments by period.
Step 1 — Configure your timetable settings
Go to Planner → Settings. Here you define the structure of your school day:
- Timetable name — give it a name (e.g. "2025–26 Standard").
- School day start and end time — the overall bounds of your school day.
- Working days — select which days of the week you teach.
- Cycle length — how many weeks before your timetable repeats (e.g. 1 week or 2 weeks).
Step 2 — Add your periods
Still in Planner Settings, add your school day periods. For each period, set:
- Label — e.g. "P1", "Period 2", "Break", "Lunch".
- Type — lesson or non-teaching (break, free, admin).
- Start and end time — the exact times for that period.
You can reorder periods by dragging them, and toggle individual periods on or off.
Step 3 — Add bell schedules (optional)
If your school has different timetables for different days (e.g. a normal day versus an early finish or assembly day), create multiple bell schedules. Each schedule is a variation of your period times. Mark one as the default — it will be used unless you override it on a specific day in the calendar.
Step 4 — Set up your timetable grid
Go to Planner → Timetable. You will see a grid of your working days and lesson periods. Click each cell to assign a class to that slot. This tells Classfolio which class you are teaching in which period, so the weekly calendar can show the right class for each slot.
If your cycle length is 2 weeks, you will see separate grids for Week A and Week B.
Step 5 — Plan in the weekly calendar
Go to Planner → Calendar. You will see your week laid out with your timetable periods. Each teaching slot shows the class assigned to it.
- Click a period to add a lesson, assessment, or assignment to it.
- Linked items appear in the slot — click them to open and edit.
- Navigate forward and backward through weeks using the arrow controls.
- Jump directly into a lesson from the calendar when the period starts.
Sharing your planner layout
If you want to share your timetable structure (period times, cycle weeks, bell schedules) with a colleague, go to Planner → Settings and scroll to the Share layout section.
- Click Create share link to generate a unique link.
- Send the link to your colleague.
- They can preview your layout and import it into their own planner.
- Imported layouts replace their periods, cycle weeks, and bell schedules — their class grid and lesson plans are not affected.
- You can disable or regenerate the share link at any time from the same settings page.
